All members participating in the fair are encouraged to send out Buyer's Letters to prospective sponsors - people who are interested in supporting youth in agricultural endeavors. Not only are you encouraging individuals and businesses to support you and your project, but to support other youth exhibiting at the fair as well.
Before the fair, you will need to send out a buyer's letter along with a brochure about the auction, and an add-on form in case they are not able to purchase your animal or attend the auction, but would still like to support you. At the auction, it's usually nice to give the buyer an age-appropriate thank you gift and thank them in person. After the fair, you will also need to send a thank you letter to your buyer and any add-on's in order to get your check released from the fair office.
Below are examples of buyer's letters and thank you letters as well as some general helpful handouts to help you with your letter writing.
Please send a copy of your letter to Jaime Flora, our club fair coordinator, to ensure proper etiquette is followed with your letter writing before mailing anything to prospective buyers. Jaime also has the brochures and add-on forms to include with your letters.
